Program Confirmation and Cancellation Protocol

To ensure fair and consistent access to our programs, all clients referred during their health consultation will receive a program confirmation deadline via email. This confirmation email is sent to the address provided at registration.

Clients are advised during their consultation to check both their inbox and junk/spam folders for this email. If the confirmation email is not received, it is the client’s responsibility to contact the CHLS team to follow up.

A program reminder text will be sent 14 days prior to the program start date to all registered participants.

Due to high demand, places in programs are limited. Clients who do not confirm or cancel their spot by the stated deadline will be notified, and have their place offered to someone on the waitlist.Clients who fail to confirm their attendance for two programs will be removed from the service, unless prior arrangements have been made with the CHLS team.

Program Confirmation and Cancellation Protocol

  • Upon referral to a program, referred clients receive an email with program registration details which will include a date to confirm their place for the program.
  • Clients are sent a reminder text 14 days prior to program commencement where the client can confirm their place on the program. Due to the high demand of programs
  • If clients have not confirmed or paid by this date, or alternate arrangements have not been made with the Cockburn Healthy Lifestyle Service team, their place will be offered to clients on the waitlist.
  • For paid programs, clients who have not paid by the payment deadline will be contacted by email/phone by CHLS Assistant Coordinator one week prior to commencement of the program.
  • Due to the high demand of programs, if the registered client has still not paid, their place on the program will be offered to participants on the waitlist unless alternate arrangements have been made with the CHLS team.
  • Clients who fail to confirm for two programs, despite the above reminder service and without valid reason will be removed from the service.
